Product Review: Guidde
Check out this tool that captures your business workflows and generates SOPs, documentation and tutorials in just seconds!
I first started using AI tools to turn my workflows into standard documentation or SOPs with a tool called Loom, which basically transcribes video. This was a huge unlock!
I’m sure you can relate to the feeling when you are acutely aware that you need to write down and document a specific process in your business - perhaps it’s a process that you have delegated to someone, but never really taken the time to properly explain or document. Or SOPs in your finance team that you know you should be documenting in case that a team member decides to leave. The process works, but is solely dependent on the person manning that task. Creating a pile of SOPs for all your critical business processes can seem like a dounting task. I certainly always felt that way in companies that just didn’t have formalized processes in place.
So recently I discovered Guidde, which is Loom but specifically designed for creating business documentation. It works by recording a workflow and automatically generating comprehensive step-by-step instructions which can be turned into documentation, SOPs, and so on.
In this post we will take a closer look at Guidde and how it can improve your business operations. I will also list a few practical use cases to start your thinking, and a simple workplan to get you started if you like to try Guidde yourself. I hope you enjoy!
(This post is not sponsored by Guidde, I just find it a useful tool to share here)
Main Features
Guidde comes with a long list of features, some more useful than others. Below are some of the features that I find most useful.
Magic Capture: A browser extension that records user workflows, capturing each step to create detailed guides.
AI-Powered Descriptions: Utilizes AI to generate clear, step-by-step descriptions of recorded workflows.
Voiceover Capabilities: Offers AI-generated voiceovers in over 100 languages, allowing for personalized and multilingual tutorials.
Private Mode: Offers the ability to blur sensitive information.
Design and Branding: Lets you create visuals and import brand guidelines.
Example Use Cases
Here are some typical use cases to give Guidde a try.
Step-By-Step Process Walkthroughs: Document key processes into department or systems manuals, e.g. how to create invoices, how to transfer inventory, how to prepare shipping documents, and so on.
Workflow Delegation: Similar to the above, but for your personal tasks. Record yourself completing a specific task to create a clear instruction document to delegate that task to someone else
Employee Onboarding: Create interactive tutorials to help new hires understand company processes quickly and as reference material for later review.
Customer Support: Develop step-by-step guides to address common customer inquiries and how-to instructions.
Product Demonstrations: Showcase product features and functionalities through detailed video instruction guides.
Internal Training: Easily create a library of standardized training materials for consistent knowledge dissemination across the organization.
The above examples really only touch the surface of how you can leverage Guidde. Your specific business and needs will determine where this tool can be best used.
Pricing
I find that a lot of AI tools today demand exhorbitant pricing, even for a basic tier. Perhaps what I like most about Guidde is that it offers a free plan that will be sufficient for most non-corporate users.
Free Plan: Allows up to 25 how-to videos per month, suitable for individuals or small teams starting out.
Pro Plan: Priced at $16 per creator/month (billed annually), this plan includes unlimited video creation, branding options, and export capabilities.
Business Plan: At $35 per creator/month (billed annually), it adds features like AI-generated voiceovers, advanced privacy controls, and analytics.
Enterprise Plan: Offers custom pricing with additional features such as unlimited screen recordings, multi-language translation, and single sign-on (SSO) integration.

Final Thoughts
To me, tools like Guidde ultimately help me scale back valuable time by forcing me (or just making it a lot easier) to document a lot of processes that I just haven’t taken the time to write down, perhaps because I feel ‘It’s quicker for me to just do it rather than train someone else on the specific task’. But many such tasks add up to a big chunk of time and keep me down in the weeds, where really I should not be operating.
So how can you get started with Guidde? Here’s a simple workplan you can follow:
First, pick a simple task you do today that you want to delegate
Use Guidde to record yourself completing that task and review the documentation.
Then ask your staff to replicate that task and review together how easy instructions are to follow.
Repeat this process for other tasks you want to delegate.
Next, train your managers to do the same for their teams.
Finally, once your team has some experience using Guidde, begin to create SOPs for systems and processes across your organization.
I hope this review was useful. I’d love to hear about your experience using Guidde (or a similar tool). Also, if you are interested in other tools for me to try, please leave me a comment.
